What Your Business Chatbot Should Do

Your chatbot should answer practical questions using the information you give us. Visitors can ask about your services, hours and coverage before deciding whether your business fits their needs.

  • Explain servicesHelp visitors understand the work your business does and does not offer.
  • Check coverageUse your service area facts when visitors ask about their location.
  • Respect policiesAnswer pricing questions according to the price policy you provide.

Your website chat gives visitors a place to ask the questions your receptionist already knows how to handle. We use the business information from your onboarding chat and website, including service boundaries, opening hours and pricing policy.

A cleaning company might explain whether it offers move-out cleaning. A pool service might clarify which areas it covers. These answers help a visitor decide what to ask next without treating an inquiry as a confirmed job.

Start with the questions you hear most often. Give us clear answers and say where your team needs to make the decision. A useful chatbot follows those boundaries instead of offering work you do not provide.

Give Chat and Phone the Same Business Rules

Website chat uses the same business knowledge and rules as your phone receptionist. You explain your services and policies through onboarding, giving both channels the same starting point for answering questions.

  • Shared knowledgeYour website chat uses the business facts supplied for your receptionist.
  • Shared boundariesDefine excluded services so phone and website answers follow your scope.
  • Plain language settingsTell the AI what changes when your business updates a policy.

Chat and phone draw on the same information about how you run your business. If your garage door company repairs residential doors but does not handle commercial gates, that boundary belongs in your receptionist's knowledge. It matters whether someone types the question or asks it over the phone.

You can change settings by telling the AI in plain words. Describe the new policy directly, including any exceptions your team wants it to know. Clear instructions give the receptionist a better basis for its answers.

Sharing business rules does not mean a typed conversation becomes a phone call. Phone features, such as the recorded greeting and urgent call transfer, belong to the phone service. See how we set up your receptionist for the call workflow.

Answer Questions From Your Business Facts

The chatbot answers from the services, hours, coverage and price policy you supply. Specific information helps it explain your business without guessing at quotes or making decisions reserved for your team.

  1. 1Opening hoursGive visitors the hours your business provides during receptionist onboarding.
  2. 2Service detailsExplain what is included in the services you tell us about.
  3. 3Price policyDescribe how you quote work without inventing a visitor's final price.
Learn more

Your business facts determine what the chatbot can explain. Tell us whether you offer recurring cleaning, which repair work you accept or how customers should request an estimate. Include what you do not offer so visitors get a clear answer about scope.

For example, a landscaping business may need to see a property before quoting. Its chatbot can explain that estimate policy using the information supplied. It should not turn a short description of a yard into a binding price.

Make your onboarding answers useful to someone who has never worked in your business. Replace vague instructions such as "normal service area" with the locations you cover. Review your website content too, because we learn from the pages you point us to.

Set Clear Next Steps for Leads and Handoffs

Your rules should explain which questions need your team's attention and what the next step is. Keep website inquiries distinct from phone transfers and the included feature for consent-based lead follow-up calls.

  • Clear next stepsExplain when a visitor needs your team to assess their request.
  • Phone escalationUrgent call transfers use the on-call person and order you set.
  • Separate follow-upOptional outbound calls require a web form with business-specific consent.
Learn more

A useful handoff starts with knowing which decisions belong to your business. Your chatbot can explain the rules you supply, including when a request needs further discussion. For instance, a moving inquiry may need your team to assess access and the size of the job before quoting.

On the phone, your receptionist can take callback details or warm transfer urgent calls according to your instructions. A phone transfer is a call feature, not a promise that website chat can place a call.

Lead follow-up calls are an included feature for people who submit your web form and tick a consent box naming your business. A website chat alone does not qualify a visitor for that follow-up. Read about the consent-based follow-up option before choosing that workflow.

Keep the Chatbot Within Its Role

The chatbot uses your business knowledge; it can make mistakes and needs clear boundaries. Give it information it can explain, then reserve quotes, unusual requests and business judgment for your team.

  • Defined scopeTell us which questions require a decision from your own team.
  • Accurate inputKeep the business information you provide current when your policies change.
  • Honest reviewTest realistic questions before deciding whether the answers fit your business.
Learn more

Your chatbot's role is to explain your business within the knowledge and rules you provide. It is not a substitute for your judgment when a visitor wants an exception, a firm quote or a decision about unusual work.

Avoid giving it conflicting instructions. If your website says you cover a town but your onboarding answer excludes it, correct the underlying information. Clear facts make it easier to assess whether an answer follows your policy.

Direct connections to business software are not live yet. We do not offer healthcare use, and the receptionist is not an emergency service. Choose the questions and boundaries that fit the work you actually accept. For urgent situations, keep your business's safety instructions clear and direct.

Add Website Chat After Defining Your Receptionist

Website chat is included with your RingCorgi receptionist. Start by supplying your business facts and rules, then use that shared knowledge as the basis for chat on your own site.

  • Try the receptionistUse the browser demo without creating an account or scheduling anything.
  • Build your knowledgeAnswer onboarding questions about services, hours, coverage and business policies.
  • Choose website chatAdd chat to your own site using the same receptionist knowledge.
Learn more

Adding website chat starts with the same business setup as your receptionist. Try a fictional business in the browser demo, then join early access; we will email your sign-in link when trials open. The onboarding chat asks about your operation and learns from the website you provide.

Prepare your service list, exclusions, coverage area and price policy before onboarding. Those details help define what visitors can ask and what needs your attention. Switch on the included website chat for your own site in Settings once those rules describe your business clearly.

The browser receptionist demo lets you test the voice experience without signup. It is a way to assess the receptionist, rather than a preview of a finished chat installation on your website. You can join early access online.

Questions

Is website chat included with the phone receptionist?

Website chat is included in every plan for your own site. It uses the same knowledge and rules as the phone receptionist, so your business facts provide the basis for both. Start by defining your services, coverage, hours and policies during onboarding.

Can I try the receptionist before signing up?

You can talk to the receptionist in our browser demo without signup. The scenarios use fictional businesses so you can hear how a conversation works. When free trials open, yours will start with email sign-in and a chat about your own business.

What does the chatbot know about my business?

We learn from your onboarding answers and the website you provide. That includes services, work you exclude, service area, hours and price policy. The included website chat uses that same knowledge and rules, so clear business information is the starting point.

Can chat start a follow-up phone call to a visitor?

The included lead follow-up feature has a separate requirement: the person must fill in your web form and tick a consent box naming your business. A chat conversation by itself does not meet that requirement. Follow-up calls are not cold calls or list dialing.

Does the phone receptionist tell callers it is AI?

The phone receptionist introduces itself as a virtual assistant and says the call is recorded at the beginning of each call. You cannot turn those notices off. The browser demo lets you hear the greeting and ask questions before you set up your business.

What if an answer needs a decision from me?

Define that boundary in your business rules, such as requiring your approval for unusual work or a final quote. The AI can make mistakes, so accurate instructions and review matter. On phone calls, it can take the details for your callback when you prefer.
